Pricing

At Better Meetings, we see our services as an investment in your success. When you hire us, we save you time, improve meeting outcomes, and enhance your culture.

Pricing Overview

The pricing is meant to be a realistic range, but some projects may be outside these numbers.
Generally, here’s how we structure pricing for our services:

hire facilitator

Meeting Training

$25 - $200 per person per hour
Tailored programs to build your team’s meeting skills. For example, we usually use real examples so your team builds skills, practices them, and makes progress on actual challenges in your organization.

Meeting Design & Strategy

$200 - $400 per hour
Restructuring staff meetings, conference design services, event experience and more; coaching to rebuild or refresh event agendas. Available hourly or in tiered pricing packages by event scope.

Professional Meeting Facilitators

Meeting Facilitation

$4,000 - $12,000 per day (inclusive of prep, etc.)
When you hire us to facilitate, we tailor the approach to your goals. Even two seemingly similar strategic retreats will often have needs, agendas and objectives that vary a lot.

At Better Meetings, we provide significant value through our services, ensuring a strong return on investment (ROI) for our clients. Our expertise in meeting facilitation, training, and design translates into tangible benefits:

When we redesign meetings and conferences, a small rate can yield substantial improvements. Clients will say that even investing 1% or less of a conference budget on our services can multiply engagement, networking quality, and participant satisfaction by 2x-4x.

The Iceberg Analogy: Understanding Our Services & Costs

At Better Meetings, the visible part of our work — facilitation, training, and design — is just the tip of the iceberg. Below the surface, we invest significant time and effort to ensure your success:

meeting facilitation services

A Visible Costs

The tip of the iceberg that clients see is the relatively small amount of time spent directly with your team during meetings or training.

B Hidden Costs

Below the surface, we often spend dozens of hours to produce a successful engagement, from extensive discovery, goal clarification, agenda design, and material creation to tailoring our approach to meet your specific needs and challenges to scouting a venue, arriving early to set up, staying late to wrap up and capture artifacts, and managing all the details in between, then following up with post-session reporting and debriefs.

Customized Solutions

Most of our work is tailored to meet your unique needs. Drawing on years of expertise, we invest significant time in understanding your challenges and goals, ensuring that every engagement delivers maximum value.

Cost Factors

We customize pricing for each project and it depends on a number of factors that include the following:

1 Participants

The number of people affects a number of factors including staffing, design, and materials.

2 Customization Level

Tailoring services to your specific needs.

3 Format

In-person, online, or hybrid; hybrid usually adds significant cost to do well.

4 Duration

Total hours of engagement. This includes time “in the room” but also typically hours of research, design, set up, etc.

5 Materials & Tools

Special software needs or materials such as creating large poster canvases, booklets, etc.

6 Additional Staff

Additional facilitators, graphic recording, note-taking, etc.

7 Location

We mostly work near Washington, DC, Maryland and Virginia but travel frequently. We also have team members who are local to other cities.

8 Speed

Is it a rushed timeline requiring extra work or do we have weeks or months to coordinate at a normal pace?

9 Reporting

Some jobs have important but minimal output like a company vision or half-day conference agenda. Others might require a comprehensive strategic plan document.

Special Pricing

Payment Terms

Invoicing

We accept checks and ACH transfers. We can also process credit cards and government purchase cards.

Partial Days & Hours

We usually price jobs by a half-day or full-day, with the fee being inclusive of the prep and other time. We bill coaching and consulting by the hour.

Milestone Payments

Payments are typically broken into achievable milestones.

Fit for Clients

We will rarely be the cheapest option but provide high value through our extensive expertise and customized approach. We will usually not be a fit for clients who simply want us to walk in cold to facilitate a 1-hour meeting or for clients who want us to simply facilitate to their own agenda without any input; we find this is not a recipe for success.

We prioritize a client-centric approach, offering more affordable but effective pricing options when possible and working within your budget constraints. We’re transparent about our costs and the value we deliver, ensuring you understand the investment you’re making.
